Several IT teams across the School of Medicine provide tools, technology, and support to employees who work remote, hybrid, or on campus. Below are the most commonly-used resources, instruction guides, training videos, and IT system log-ins.

Commonly-used Resources

Virtual Private Network (VPN)

VPN is used to connect remote users to UAB resources that are restricted for reasons of security and/or licensing constraints. VPN access is available for both campus employees and hospital employees.

  • Clinical employees should use the HSIS/Hospital VPN, while research and academic staff should use the Campus VPN.
  • The HSIS VPN requires a full VPN profile for access to some HSIS supported systems/applications.
  • The same Cisco VPN client can be used for both Campus and HSIS VPN profiles and can be interchanged.

 Two-factor authentication

UAB requires Duo two-factor authentication on several systems throughout campus and the hospital. Sign-up on a desktop then activate with your most used smartphone or tablet through the duo app. Log-in with your UAB password.

RSA Token

The RSA token is typically used for connecting to HSIS VPN, Citrix applications, and other hospital systems. As of 2020, the hospital has exhausted its limit of RSA tokens. To request a new (or renew an expired) HSIS RSA token, log on to the HSIS support site, select the “Remote Access” box, and then click the “Remote Access” link.

Microsoft multi-factor authentication

The Microsoft Authenticator is currently used to access applications like Outlook Web Access (OWA—email, calendar, and contacts) from home and other external networks. To configure a HSIS Microsoft Profile multi-factor authentication, follow the directions in the enrollment guide.

  • Visit https://myprofile.microsoft.com, while connected to the hospital network.
  • Sign in with your @uabmc.edu address, then enter your password on the next screen.
  • After you have logged on, click the "UPDATE INFO" link in the Security Info tile.
  • If pre-enrollment has not occurred, you will be walked through steps to enroll for MFA. Otherwise, click the “Add method” button.
  • You will be given options to either use the Authentication App on a smartphone or a phone number to receive SMS texts for codes.
  • Follow the on-screen guide to configure your options.

Citrix

Citrix is primarily for the clinical users, HSF financial users, or researchers needing clinical data. HSIS Citrix provides remote gateway to many clinical (i.e. IMPACT), financial, collaborative applications. You will need a RSA token for the passcode. Citrix Receiver is the client/desktop app that’s needed for accessing those server apps.

Zoom

Zoom provides cloud video conferencing and simple online meetings.

  • If you need HIPAA compliant Zoom meetings or to discuss Protected Health Information, request a HIPAA compliant account.
  • Zoom Webinar is available to those who have a confirmed, registered 300+ attendee event.
  • If you do not have 300 registered attendees, you may use a Zoom meeting to accomplish most of the same features of a Zoom webinar, except the Q&A feature. You may use the Spotlight option and hide non-video participants.

Microsoft Office

UAB has deployed Microsoft’s Office 365, a messaging, collaboration, and productivity software product hosted in the cloud and designed for high availability, performance, security, and growth.

  • The online and Mac versions of Microsoft Office do not support all features included in the Windows desktop version, including VBA, macro support, and paste special.
  • For campus employees, you may install Microsoft Office on up to five personal devices.

Training Videos


Adobe

Adobe Creative Cloud is a collection of 20+ desktop and mobile apps and services for photography, design, video, web, UX, and more. A limited number of licenses are available for campus faculty and staff for academic or business use only.

Adobe Acrobat is used for viewing, creating, and editing PDF files and fillable forms.

Adobe Sign

Adobe Sign is a cloud based tool you can use in a web browser or mobile app to send, sign, track, and manage signatures digitally.

Oracle

The Oracle Administrative System is an integrated suite of human resources and finance modules for administrative operations and record keeping. It is a web-based system that includes a self service application for all employees, as well as HR and FN Applications for staff and faculty to conduct day-to-day business.

Handling Sensitive Information

UAB IT has three levels of data classification for all data. This system establishes roles and responsibilities for those individuals and groups who will safeguard and use UAB data. Many of the policies and guidelines established to support this classification system are required by federal law and UAB must remain compliant.
